How TrainConfirm works, what ends up in your compliance records, and how your data is handled.
You upload your own training video, send it to your staff, and get back a signed record showing who watched it and when. Each person gets their own link that works once. They watch the video through, type their name to confirm, and the link stops working. You can download the whole set of records as a CSV whenever you need it.
Most compliance platforms sell you a library of ready-made courses and an LMS to deliver them in. TrainConfirm does the opposite. There is no course library, because the video is yours: your policy update, your site induction, your safeguarding briefing. There is also nothing to configure. You upload a file and send it, and there is no course builder, no SCORM packaging, and no setup period before you can use it.
No. Staff never create an account, set a password, or install anything. They get an email, click the link in it, watch the video, and type their name. That is the whole process from their side. Only the person managing training needs a TrainConfirm login.
The player has no seek bar and no playback speed control, and the confirmation form stays locked until the video reaches the end. So a staff member cannot drag to the last few seconds or run it at double speed to finish early. Worth being straightforward about the limit of this: no web player can prove someone was watching attentively rather than sitting in another tab. What the record shows is that the video played through in full, and that a named person then signed to say they watched and understood it.

Each link works once, so once it has been used to confirm, a forwarded copy is dead. Before that point, the link is a web address like any other, and we would rather say so than claim otherwise. Two things make forwarding unattractive: the video carries the original recipient's name on screen throughout, and the confirmation is a signed statement attributed to that named person. If someone else completes it on their behalf, the record still names them, which is their problem rather than a gap in your evidence. This is the same basis every e-signature service relies on.
The record holds the staff member's name and email address, which video they were sent, the exact date and time they confirmed, the IP address they confirmed from, and the full name they typed as their signature. Recording an IP address and timestamp is standard practice for e-signature and audit trails, and it is what turns a completion tick into evidence. All of it exports to CSV.
While the video plays, the viewer's name and the date sit across the screen. It is drawn by the page rather than burned into the video file, so someone technical could hide it in their own browser, though it would still appear in a screen recording made the ordinary way. Its job is to discourage casual sharing and to make a leaked recording traceable to a person, not to make copying impossible.
Yes. Upload your logo in Settings and it appears at the top of every training email and on the watch page your staff see. The email arrives from your organisation's name, so to a staff member the whole thing reads as coming from their employer.
The limit counts the staff you currently have on your account, not the total number of records you build up over the years. When someone leaves, archive them from the Staff page and their place is freed up straight away. Nothing is deleted when you do this: every confirmation they ever signed stays in your reports and exports, which matters if you are asked about training that happened before they left. Send training to an archived person later and they are restored to your active list automatically.
Yes. Staff open the link on whatever device they have, and the video and confirmation form both work on a phone browser. There is no app to install. The dashboard works on mobile too, though most people find managing sends easier on a larger screen.
Their link stays valid and unused, and they show as pending in your dashboard and in any report you download. You can see at a glance who has not completed it and follow up however you normally would.
Your account data and confirmation records are held in a Supabase database, videos are hosted with Mux, training emails are sent through Resend, and payments are handled by Stripe, which means we never see or store card numbers. Each of those is listed in our Data Processing Agreement along with what it handles. Access to your data is restricted to your own authenticated account. TrainConfirm is operated from the UK and works to UK GDPR and the Data Protection Act 2018.
For your staff data, you are. Your organisation decides which staff to send training to and why, so you are the controller and we act as your processor, handling that data only to run the service for you. For your own account details, we are the controller. Our Data Processing Agreement sets this out in full and is public, so you can read it before signing up rather than having to request it.
Confirmation records are kept for up to six years after an account closes, which reflects the standard UK limitation period for contract claims and means the evidence is still there if you need it after you have stopped using the service. You can download everything as a CSV before you cancel, and that file is yours to keep. If you want records deleted sooner, contact us at support@admiration.media.

Fourteen days, and no card is required to start. The trial covers up to 25 staff, the same as the Starter plan, and every feature is available on it. If you want to trial with a bigger team than that, get in touch and we will sort something out. If you decide not to continue, nothing happens and nothing is charged.
